What you will be doing

POSITION SUMMARY:

Under the general direction of the HR Shared Services leadership team, the HRSS Onboarding Coordinator plays a vital role in ensuring a seamless and positive candidate experience. This role oversees the administrative and operational aspects of the recruitment process such as interview scheduling, candidate communications, pre-employment tasks, and record maintenance to ensure a positive recruitment experience. Responsibilities also include analyzing background check results and communicating findings for informed hiring decisions. This role requires strong organizational skills, professionalism in candidate interactions, and a commitment to enhancing recruitment operations.

PRIMARY DUTIES AND RESPONSIBILITIES:

  • Receive and execute scheduling request tasks in Workday within defined timelines adhering to service level agreements (SLAs)
  • Responsible for arranging all phone, video and onsite interview coordination, including any candidate travel, with candidates, hiring managers and the interview teams ensuring a positive experience.
  • Complete timely updates for interview rescheduling requests or cancellations with clear communication to interview participants about scheduling changes.
  • Proactively communicate with candidates to provide clear instructions and guidance regarding interviewing logistics, demonstrating professionalism. Provide clear and timely communication throughout the process.
  • Respond to applicants regarding status, navigating Workday and company career site, and other recruiting related applicant questions.
  • Schedule debrief calls after interview completion.
  • Receive and execute preboarding tasks following the candidate accepting the offer of employment; Tasks will vary between assigned in Workday and completing in other systems based upon local requirements.
  • Maintain accurate and up-to-date candidate records in the applicant tracking system (ATS), Workday.
  • Initiate, track, and confirm completion of pre-employment screening requirements based upon country, such as background checks and other verifications.
  • Escalate challenges with scheduling, lack of communication or completion of assigned new hire tasks in a timely manner to the necessary parties in the hiring process, including the Recruiter, Hiring Manager, and/or other HR or Technology team members.
  • Seek opportunities to enhance the candidate's experience and streamline our interview scheduling and logistics process. Take ownership of process improvements/documentation and contribute to elevating our recruitment practices.
  • Review background check results, analyze discrepancies, and conduct investigations as necessary to determine eligibility for employment. Communicate background check findings to relevant stakeholders, document adjudication decisions, and maintain accurate records.
  • Perform related duties as assigned.

What your background should look like

EXPERIENCE AND EDUCATIONAL REQUIREMENTS

  • High school education required; Bachelor's degree in Human Resources is preferred.
  • Minimum of 2 years of previous experience in staffing coordination or in a HR environment.

MINIMUM SKILLS, KNOWLEDGE AND ABILITY REQUIREMENTS:

  • Detail Oriented with ability to manage competing time sensitive requests
  • Excellent communication skills, written and oral; advanced proficiency in English is required
  • Demonstrated customer service skills, including phone etiquette, attention to detail & follow-up
  • Effectively handles multiple tasks and proven ability to prioritize workload.
  • Proficiency in databases and ability to use MS Office products.
  • Ability to adhere to consistent, standardized processes using templates, technology, and escalation steps outlined by HR leadership
